Meta IT Pro provides managed IT and cybersecurity services to organizations primarily in Massachusetts and Rhode Island. In this policy, “Meta IT Pro,” “we,” “us,” and “our” refer to Meta IT Pro.

This policy covers this public website and website-generated inquiries. Information handled while delivering services to a client may also be governed by the applicable service agreement, confidentiality terms, data processing terms, business associate agreement, or other client documentation. A linked third-party website or client support portal is governed by its own terms and privacy notice.

Depending on how you interact with the website, we may collect:

• Contact and business information: name, business email, phone number, company name, service or plan interest, and information included in your inquiry.
• Readiness self-assessment information: organization type, selected answers about organizational safeguards, derived scores, category results, and reported priority-gap topics.
• IT Budget Calculator scenario information: employee count, industry, support scenario, locations, optional external-spend comparison, and the illustrative result. In the current browser-based version, this information stays in your browser and is not submitted to Meta IT Pro.
• Chat information: messages and other information you choose to provide through the AI-assisted chat widget.
• Usage, attribution, and device information: pages viewed, referring page, advertising or campaign parameters, interactions, approximate location, browser, device, operating system, cookie or similar identifiers, IP address, and diagnostic or security logs.
• Form security information: submission time, a submission identifier, source page, and anti-spam fields used to detect automated or abusive requests.
• Communications: messages, replies, scheduling details, and records of our follow-up with you.

Readiness answers describe an organization's security posture and should be treated as confidential. We process the answers to calculate the requested result. Raw answer details are not included in the lead-notification email; business contact information, category results, and priority-gap topics may be retained with our business communications.

Please do not submit passwords, multifactor authentication codes, recovery keys, Social Security numbers, payment-card or bank information, medical records, protected health information (PHI), or other highly sensitive information through public forms, self-assessments, or AI chat. Existing clients should use their approved support channels for service-related information.

We collect information directly from you when you complete a form, use chat, email, call, or otherwise communicate with us. We and our service providers may collect technical, usage, and campaign-attribution information automatically when your browser requests or interacts with the website. We may also receive information from referral sources, advertising platforms, or business partners when permitted by law.

• Respond to inquiries, schedule consultations, and provide requested information.
• Calculate and display requested self-assessment and calculator results, deliver requested detailed self-assessment breakdowns, and follow up about potentially relevant services when you submit a contact request.
• Understand your technology needs and recommend potentially relevant services.
• Operate, secure, troubleshoot, and improve the website and our communications.
• Measure website use, lead activity, advertising campaign performance, and conversion attribution according to your privacy selection and the consent controls described below.
• Detect spam, fraud, abuse, security threats, and service failures.
• Maintain business records, enforce agreements, and comply with legal obligations.

Where applicable law requires a legal basis, our processing may rely on your consent, steps requested before entering a contract, performance of a contract, compliance with law, or our legitimate interests in operating, securing, and improving our business. You may change your optional measurement selection at any time through Cookie Preferences.

We do not sell personal information for money. We use Microsoft Advertising UET for conversion measurement and campaign-performance reporting. Depending on Microsoft Advertising configuration and your consent selection, Microsoft identifiers may also support audience or remarketing features. We do not knowingly use sensitive personal information for targeted advertising. We may disclose information only as reasonably necessary to:

• Website and security providers, including Cloudflare, which delivers and protects the website and may process network, request, IP, diagnostic, and security data.
• Microsoft 365 and Microsoft Graph, which deliver website inquiries and self-assessment lead summaries to our designated business mailbox and store sent and received business communications.
• Google Analytics and Microsoft Clarity, which measure website usage when configured and the visitor allows optional measurement.
• Microsoft Advertising UET, which receives consent signals and may process website events, campaign attribution, cookie or device identifiers, and related technical data for conversion measurement, reporting, advertising optimization, and configured audience features. • Our AI chat technology providers, which process chat interactions needed to provide the chat experience.
• Integration or webhook providers, if configured as a backup delivery channel for an inquiry.
• Professional advisers and authorities, when reasonably necessary to obtain advice, protect rights or safety, investigate misuse, or comply with law and valid legal process.
• A successor organization, as part of a merger, financing, reorganization, sale, or transfer, subject to appropriate protections.

Our providers maintain their own privacy notices and may process information in the United States or other countries where they operate.

Essential technology supports site delivery, security, form protection, and storage of your privacy selection. Google Analytics and Microsoft Clarity load only after you select “Allow optional measurement.”

Microsoft Advertising UET loads on each page with ad_storage set to denied by default. In this denied state, Microsoft states that UET does not read or write first-party advertising cookies and does not write third-party advertising cookies, although privacy-restricted cookieless measurement signals may be sent. Selecting “Allow optional measurement” updates UET advertising storage to granted. Selecting “Decline optional” or sending Global Privacy Control without a saved preference keeps it denied.

The AI chat is a functional website service. Its script loads across the site so the chat is available, and information is processed when you interact with it. Review our Cookie Notice for more detail and use Cookie Preferences in the footer to change your optional measurement choice.

We retain information only for as long as reasonably necessary for the purposes described in this policy. The retention period depends on the nature of the inquiry, whether a client relationship develops, security and operational needs, advertising and analytics provider settings, contractual commitments, legal requirements, dispute resolution, and our recordkeeping obligations. When information is no longer reasonably needed, we take steps to delete, anonymize, or securely dispose of it.

We use administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, or alteration. These include encrypted transport, access controls, anti-spam measures, hosted security services, and restricted business-system access. No website, email, transmission method, or storage system can be guaranteed completely secure.

Depending on where you live, you may have rights to request access to, correction of, deletion of, or a copy of certain personal information, or to object to or restrict certain processing. You may also change your consent for optional analytics and advertising measurement through Cookie Preferences. We may need to verify your identity and may retain information when permitted or required by law.

We do not discriminate against people for exercising applicable privacy rights. Authorized-agent requests must include sufficient proof of authority. You may submit a request using the contact information below.

This website and our services are directed to businesses and are not intended for children under 13. We do not knowingly collect personal information from children under 13 through this website. If you believe a child has submitted information, contact us so we can review and address the request.

Meta IT Pro is based in the United States. If you access the website from another country, information may be transferred to and processed in the United States and in other locations where our providers operate. Those locations may have different data-protection rules than your jurisdiction.

We may update this policy when our website, providers, advertising configurations, practices, or legal obligations change. We will post the revised policy here and update the effective date. Material changes may also be communicated through an additional website notice when appropriate.
